This website is operated by Coverdale Barclay on behalf of Dulwich Prep & Senior (together “we”, “us”, “our”). We collect and use personal data in connection with engagement for the Mary Datchelor Playing Fields project.

What data we collect

• Contact details: name, email, postcode, phone (if provided).

• Feedback you submit (free-text comments, survey responses).

• Technical data: IP address, device/browser type, pages viewed (via cookies/analytics—see Cookies Policy).

• Correspondence (emails or messages you send us).
  Please avoid including sensitive information in free-text boxes.

How we use your data (purposes and lawful bases)

• To manage project engagement and respond to enquiries (legitimate interests).

• To analyse feedback and report themes to inform design and planning, including a Statement of Community Involvement (legitimate interests/public task).

• To provide project updates if you opt-in (consent; you can withdraw at any time).

• To maintain site security and performance (legitimate interests).

Who we share data with

• Dulwich Prep & Senior (as the Data Controller).

• Coverdale Barclay (as the Data Processor) and trusted IT suppliers for hosting, email and forms, under contract.

• Public bodies for planning: the London Borough of Southwark and the Greater London Authority where relevant, for pre-application and/or application submissions (for example as part of a published consultation report).

• We will not sell your data.

Where suppliers store data outside the UK/EEA, we use appropriate safeguards (e.g., UK IDTA/Standard Contractual Clauses). Details available on request.

How long we keep your data
For the life of the project and any subsequent planning process, then typically up to two years after a decision has been made about the planning application by the Local Planning Authority, unless we need to keep records for longer to comply with any legal obligations or manage complaints. Anonymised statistics may be kept for longer.

In relation to the management of your data, you can request: access, correction, deletion, restriction, data portability, and to object to processing based on legitimate interests. Where we rely on consent (e.g., email updates) you may withdraw it at any time.
